Dashen Brewery Share Company is looking for a highly organized, proactive, and confidential Executive Secretary to provide comprehensive administrative support to our CEO.


Executive Secretary

  • Location: Addis Ababa
  • No. of Positions: 1

Job Summary:

The Executive Secretary is responsible for supporting high-level executives and management. This role involves providing extensive administrative support, including scheduling, correspondence, email management, handling visitors, routing callers, and responding to inquiries and requests.

Key Responsibilities:

  • Provide advanced, efficient, and confidential administrative service to the CEO.
  • Schedule meetings and arrange conference rooms; attend meetings and keep minutes if necessary.
  • Alert the CEO about cancellations or new meetings.
  • Make and coordinate travel arrangements, prepare itineraries, and maintain travel vouchers and records for the CEO.
  • Receive and screen phone calls, redirecting them appropriately.
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.).
  • Handle confidential documents, ensuring their security.
  • Maintain electronic and paper records for easy accessibility and accurate filing.
  • Provide administrative and clerical support to the CEO.
  • Coordinate office management activities and maintain office procedures.
  • Determine matters of top priority and handle them accordingly.
  • Plan events and volunteer activities.
  • Operate office equipment, such as photocopy machines and scanners.
  • Relay directives, instructions, and assignments to executives.
  • Prepare the CEO’s yearly office budget.
  • Conduct the ordering of stationery for the department as required.
  • Preserve an adequate inventory of office supplies.

Qualifications and Experience:

  • Education: Diploma in Secretarial Science and Office Management.
  • Experience: 5 years’ relevant work experience in secretarial services and office management activities.

  • Professionalism, excellent judgment, discretion, prioritization, and problem-solving abilities.
  • High stress tolerance.
  • Ability to work and make decisions independently.
  • Interest in office Management.
