EthioChicken, a rapidly growing Ethiopian company and a leading distributor of chickens to rural farmers, is looking for a motivated and detail-oriented Administrative Assistant to support its Sales and Marketing department. This role offers an opportunity for career advancement within a company focused on making Ethiopian farmers healthier and wealthier.


Position: Administrative Assistant

Job Summary:

The Administrative Assistant will support the daily activities of the Sales and Marketing department, including the Sales Director and/or National Sales Manager. The ideal candidate will be a hard-working professional capable of undertaking various office support tasks, working diligently under pressure, and maintaining a high degree of attention to detail and discretion.

Key Functions/Responsibilities:

  • Organize the office and assist managers to optimize procedures.
  • Sort and distribute communications in a timely manner.
  • Create and update records, ensuring accuracy and validity of information.
  • Schedule and plan meetings and appointments.
  • Monitor supply levels and handle shortages.
  • Resolve office-related malfunctions (including remote offices) and respond to requests or issues.
  • Coordinate with other departments to ensure compliance with established policies.
  • Maintain trusting relationships with suppliers, customers, and colleagues.
  • Attend meetings, record notes, and follow up on actions for attendees.
  • Design a filing system or maintain a case file for all government, non-government, and other communications.
  • Ensure all documents (hard and soft copies) are easily and timely retrievable.
  • Write various correspondences to government and non-government organizations.
  • Assist the Sales Director, National Sales Manager, and sales team with administrative tasks.
  • Assist in organizing events (meetings, workshops, retreats, etc.).
  • Perform other relevant duties as requested.

Competencies & Qualifications:

  • Experience: Proven experience (preferably Internship) as a back-office assistant, office assistant, virtual assistant, or in another relevant administrative role. Fresh graduates or candidates with one year of experience are encouraged to apply.
  • Knowledge: Of “back-office” computer systems (ERP software), working knowledge of office equipment, thorough understanding of office management procedures.
  • Skills: Excellent organizational and time management skills, analytical abilities and aptitude in problem-solving, excellent written and verbal communication skills, proficiency in MS Office, strong computer skills, ability to work under pressure and meet competing deadlines, ability to communicate effectively, professional appearance, friendly and outgoing demeanor, concern for others and a desire to help, strong customer service skills.
  • Education: BA in Sales and Marketing, Business Management, or related field of study.
