Ethiopian Red Cross Society (ERCS) Vacancy

The Ethiopian Red Cross Society (ERCS), one of Ethiopia’s oldest and largest humanitarian organizations, is recruiting for an Archives Officer for Finance. ERCS provides crucial services to communities affected by disasters and runs disaster risk reduction programs.


Job Title: Archives Officer for Finance

  • Work Unit: Finance Department
  • Reports to: Accounts Manager
  • Terms of employment: Contract
  • Salary: Organization Salary Scale
  • Place of Work: HQ (Headquarters)

Job Summary:

Under the general supervision of the Accounts Manager, the Archives Officer for Finance assists in the activities of financial records and archives within the department. This role involves helping the Accountant with the filing system, following up on outgoing and incoming documents, ensuring proper delivery and dispatch of documents, transmitting letters, and performing overall archival clerical activities.

Specific Duties and Responsibilities (include, but are not limited to):

  • Handling the activities of records and archives of financial documents.
  • Modernizing filing systems based on society’s pertinent systems to ensure security, easier access, and retrieval of confidential information.
  • Keeping custody of official seals or stamps of the Society.
  • Ensuring file arrangement system and documents remain legible and readily identifiable.
  • Disseminating letters/documents received to concerned work units or individuals after proper registration and recording.
  • Ascertaining that documents are kept and properly filed.
  • Providing access to files upon well confirmation of the division manager.
  • Identifying and sorting out special documents and files to keep confidentially and carefully.
  • Registering outgoing and incoming documents or letters on a separate registry, depicting the content, address, and other important details.
  • Ensuring secrecy for documents, whether disseminating or kept for recording purposes.
  • Performing other records and archive related duties and responsibilities.

Job Specification:

  • Education: College diploma/TVET level IV in Accounting, Records Management, Management Information System, or a related field of study.
  • Experience: 4 years of related work experience. OR 2 years of related work experience for BA in Accounting.
  • Additional Skills: Basic computer skills.
  • Required Skills: Adaptability, Communication, Attention to detail, Creative thinking.
