Position: General Services Officer

Duty Station: Addis Ababa /Head Office/

Job Summary:

The General Services Officer is responsible for developing and implementing general services administration and fleet management policies. The role involves planning, organizing, and directing the maintenance and repair of company vehicles, generators, and motorcycles. Key duties also include managing service contracts, monitoring fleet usage, and overseeing office facilities and support staff. The officer will act as a liaison with various offices, conduct visits to branch offices to assess assets, and play a leading role in office renovations and construction.

Specific Duties and Responsibilities:

  • Fleet Management:
    • Develop and revise the fleet management policy.
    • Plan and direct the servicing, maintenance, and repair of vehicles, generators, and motorcycles.
    • Manage service contracts with vendors, including insurance companies and garages.
    • Monitor vehicle locations using GPS and prepare monthly reports on fuel consumption and cost analysis.
    • Manage vehicle insurance, accident claims, and ensure proper plate numbers and ownership titles.
  • Facility and Asset Management:
    • Supervise and follow up on the timely repair of office equipment, furniture, and utility systems.
    • Conduct regular visits to branch offices to assess the condition of assets.
    • Take a leading role in office renovation, construction, and space allocation.
    • Manage the disposal and ownership transfer of obsolete fixed assets.
  • Administration:
    • Act as a liaison officer with various offices related to fleet management and general service activities.
    • Coordinate support staff, including drivers, office attendants, and mechanics.
    • Prepare and submit monthly, quarterly, and annual reports.

Qualifications and Skills:

  • Education: BA Degree in Management, Business Administration, or a related field.
  • Experience: 3 years of relevant experience.
  • Skills: Integrated knowledge of support services concepts, ability to interact with people, basic computer skills, and good written and oral communication skills.
