Position: Customer Service Officer
Job Summary
As a Customer Service Officer, you will be the key liaison between our sales, transport, and warehouse teams. Your main responsibilities will involve managing the entire sales order process, from receiving orders to handling customer inquiries, complaints, and billing issues. You’ll ensure every order is processed accurately and efficiently, maintaining a high level of customer satisfaction.
Key Responsibilities
- Accurately process daily sales orders from company representatives.
- Verify customer and agent registrations to ensure compliance.
- Check system availability for products and finished goods to fulfill orders.
- Confirm correct pricing and ensure orders do not exceed approved credit limits.
- Allocate stock properly according to company policy.
- Ensure customer payments are deposited or verified via proof of deposit (POD) or postdated checks.
- Generate and provide picking lists to the warehouse for delivery or shipment.
- Coordinate with the transport section to arrange for delivery trucks.
- Ensure accurate and complete invoicing and attachments.
- Verify sales discounts and trade promotions are applied as per official approval.
- Follow up on the timely collection of proof of deliveries.
- Report daily sales to relevant departments at the end of each business day.
- Record and follow up on pending orders, communicating with sales and logistics teams.
- Resolve customer complaints via phone, email, or mail.
- Collaborate with the customer service manager to maintain high service standards.

- Strong knowledge of sales and marketing management.
- Excellent interpersonal and communication skills.
- Proficiency in sales order processing and dispatching.
- Demonstrated skills in Microsoft Office applications.
- Ability to work well with a team.
- Effective time-management skills.
- Capable of multitasking and working under pressure.
- Experience with ERP systems and sales/marketing activities is a plus.
- Customer Relationship Management (CRM) skills are required.
Candidate Profile
Educational Requirements
- First Degree in Marketing, Sales, or Business Administration from a recognized institution.
Experience
- A minimum of 2 years of experience in customer service, sales, or marketing.
