About the Regrow Yirga Program
The Regrow Yirga Program is a five-year, $15M+ initiative funded by the U.S. Department of Agriculture (USDA), JDE, and Peet’s Coffee. Operating in Yirgacheffe (Gedeo Zone)—one of the world’s most celebrated coffee origins—the project aims to boost farmer productivity, expand trade, and facilitate coffee tree renewal. The project targets training 42,000 farmers in Good Agricultural Practices (GAP), providing advisory support to 45 coffee processing stations, and launching an innovative Farmer Fund for direct incentive transfers.
Position Overview
Position Title: Administrative Assistant – Maternity Cover (3 Months)
- Duty Station: Dilla (Main Project Office), Ethiopia
- Employment Type: Full-Time (3-Month Contract / Maternity Cover)

- Reports To: HR & Admin Coordinator / Senior Program Manager
Job Purpose & Key Responsibilities
The Administrative Assistant provides essential operational, clerical, and store administration support to project teams, overseeing office cleaning, storekeeping, and facility security at the Dilla project office.
Key Responsibilities:
- Operational & Administrative Support:
- Assist project coordinators, agronomy, and business teams with logistics, HR tasks, and training setup/materials.
- Maintain organized, properly labeled physical and digital office filing systems.
- Office Cleaning & Facility Management:
- Ensure office premises are kept clean, orderly, and well-maintained.
- Manage monthly cleaning material requests and ensure economical usage.
- Oversee office key management, securing offices, lights, and equipment outside of operating hours.
- Promptly report any equipment or facility maintenance and repair requirements.
- Store & Asset Administration:
- Inspect and receive store deliveries against purchase orders or dispatch notes; report discrepancies or damaged items.
- Issue items upon proper authorization and update bin cards/stock cards immediately.
- Maintain and update fixed asset registers and personal ledger balance records.
- Assist with periodic inventory counts, stock checks, and staff departure clearance processes.
Job Requirements & Qualifications
- Educational Qualification: Bachelor’s Degree (BA) in Business Administration, Office Management, or a related field of study.
- Work Experience: Minimum of 1 year of relevant experience. Prior experience in office administration, petty cash handling, and storekeeping is highly advantageous.
